I love Christmas newsletters. I’ve lived far away from family my entire adult life, and reading those newsletters allows me to catch up on the lives of my loved ones. A well-done newsletter will share the good, the bad, and the funny highlights of the year. You might want to keep one from each year for yourself as a sort of brief diary of your family’s life and growth. After I had been married a few years, I began including a newsletter in our Christmas cards, patterning it after the one my aunt and uncle sent out: newspaper column format with short, newsy items following a different theme each year. It’s fun, it’s quirky, and it’s creative! The year I didn’t send one out, I got notes telling me how much my newsletter was missed. I created my own template more than twenty years ago. I change it up a bit each year to keep things interesting, but if Christmas chaos gets the best of me, that template enables me to pull my family news together quickly and in time to get my Christmas cards in the recipients’ mailboxes before Dec. If I had not created it in a now-defunct desktop publishing program, I could share it with you but, alas, I still use PageMaker while the rest of the world has moved on to InDesign. No problem, you can find templates for Word, and probably Mac too (but you’ll have to do your own research if you need a Mac template). There are sites that sell templates, but you can find free ones available that will suit your purposes. Here is a template that will help you place photos and text in place as it offers ideas for news to include. This template from Microsoft has Christmas graphics instead of photos. ![]() ![]() It’s six pages, which is awfully long, but can be folded over and mailed in place of a card. This one would probably be most useful to send to a few close but long-distance relatives who would be pleased to read all about your year’s adventures; your children could add poetry or short stories to it to add some extra holiday cheer. Or, this template could work as a holiday template for a business newsletter. WordDraw.com has five free templates with a variety of holiday designs for in Microsoft Word. One of them is in letter form rather than a newsletter format if you prefer writing a letter to laying out articles. Another even goes with a template for matching return address labels! October is a good month to start on a newsletter. You have time to make a list of events and accomplishments to cover; you have time to start planning your layout and choosing any photos you want to include. You may wait until mid-November before you wrap it up, but getting a headstart will ensure that you can finish easily. Might I make a suggestion? Ideally, newsletters should be limited to one page—two at the most. Don’t waste precious space on news that is the same every year. There’s no need to share that your kids are honor students and that you are so proud year after year after year. People want to know what else they are doing. For additional tips on writing newsletters, click the “newsletter” link in my word cloud in the righthand margin. [Note: I ended up using one of the WordDraw templates for my 2013 newsletter. It used a lot of color ink, but it turned out great. I tried something new and liked it! How about you?]. ![]() I recently finished working on a project that generated a dozen separate reports published together in a single booklet. Each report was from three to eight pages long, and most of them included at least one table or chart. When we were done, several of my co-workers commented on how nicely the reports were laid out. All I had done was create a Word template with a simple two-column layout for long text sections. To create this template, open a new document, type a dummy document title on the first line, choose a font type and size (I used 12-point bold lucida sans, for example), and center the line by choosing the appropriate icon in the formatting section of Word 2003's standard toolbar and under the Home tab on Word 2007's ribbon. On the next line, enter dummy text to represent the document summary. The quick way to do so is to type =rand( p, s) (where 'p' is the number of paragraphs and 's' is the number of sentences) and press Enter. Don't go nuts, though. This is supposed to be a 'summary.' In Word 2007, click the Page Layout tab on the ribbon and click Columns > Two. (Note that this important step was inadvertently excluded from the original version of the tip; my apologies.) Paste in more dummy text by typing =rand( p, s) (where 'p' is the number of paragraphs and 's' is the number of sentences) and pressing Enter. Format the font size and type, or stick with the document defaults. Finally, save the file as a template: In Word 2003, click File > Save As, give the template a name such as 'Two-column layout,' choose a location for the file (more on this below), select Document Template (*.dot) in the Save as Type drop-down menu, and click Save. Shauna Kelly wrote the definitive method for producing outline numbering in Word several years ago. Unlike most of what you’ll read about techniques for creating numbering in Word, Shauna’s procedures actually work reliably. Unfortunately, Ms. Kelly passed away several years ago, though her web site has been kept going by volunteers. You can read her original posts here:. My contribution is to document the steps needed to produce outline numbering in Word for OS X. The names of some commands are different, or they’re found in a different place. I’m sticking to the step-by-step approach. For an in-depth explanation of why the steps work, please consult Shauna’s original pages. These instructions are quite specific. Please don’t include any steps not on the list below, or you’re on your own for the results. Shauna argued strongly for using the built-in heading styles Headings 1 through 9. Try Microsoft Edge A fast and secure browser that's designed for Windows 10 No thanks Get. Thousands of templates to jump start your project. Address books. There’s nothing wrong with this and it can save a few steps. Sometimes, however, I prefer to save heading styles for headings and create a separate set of styles for numbering. In this article, I’ll translate Shauna’s classic method. ![]() ![]() ![]() ![]() A future post will show some optional variations. If this is to be the basis for future documents, you want to be making these changes in a template. If you do this in a document and don’t apply the changes to the source template, you’ll have to redo all these steps for the next document. • Choose Format>Style and select Heading 1. (If you’re not already using Heading 1 in your document, change the List: dropdown to All styles) • Click on the Modify button. • Change the Style based on: dropdown from Normal to (no style) at the top of the list, then click on OK. While the dialog is open, choose Format.>Paragraph and set the Left indent to 0 and the Special indent to (none). If there is any indenting, these will be set later. If you had already formatted Heading 1, you may need to make some changes after detaching it from Normal. • Select Heading 2, click on Modify and change Style based on: to Heading 1. • Repeat step 3 for each built-in Heading style, for as many levels of outline numbering as you require. Each style should be based on the one before. • Repeat the steps above for all levels to be formatted. Select 2 from the Level list, Heading 2 from the Link level to style: dropdown, enter text and select a number style. • On lower levels, you often want to include numbering from a higher level, so level 2 may appear as 1.1. You can do this by clicking in the Enter formatting for number: box where you want the previous level to appear, then choosing a level from the Include level number from dropdown. Outline Numbering in Word for OS X has a quirk: the Level 1 choice is already displayed, even if no number appears in the Enter formatting for number: box. Just click on the dropdown and re-select the Level 1 that already appears selected and Word will do the right thing. Like every good designer, you’ll probably want to tweak these styles later. For paragraph styling, like the amount of space before or after, you can simply modify the paragraph parameters. But anything to do with the numbering or its positioning relative to the paragraph should be done in the Outline Numbering dialog. Unfortunately, both Word 2011 and 2016 have a bug that makes it impossible to edit an existing List Style. • In the Quick Style Gallery, right-click on Heading 1 and choose Modify Style. • Click on the Format button and choose Numbering. The Bullets and Numbering dialog opens to the List Styles tab, where you can’t modify, add or delete anything: the buttons are permanently disabled. • Click on the Outline Numbered tab. None is highlighted, which is not helpful. Examine the tiles carefully, you have to choose the correct one. Click on it and then on the Customize button. This will only work if you are editing the outline numbering on the same installation of Word on which you originally created it. Open in a different installation or version and the Bullets and Numbering tiles do not show your custom list. • Edit the numbering, then exit when you are finished. Instead of editing your named List Style, Word has created a new list style autonamed Current List1. If you’re using a different installation of the program than what you created the list on, you can’t even use the Outline Numbered tab. All the tiles will display the stock numberings. Instead of editing your list style, you must start all over and get it right in one editing pass. Your documentation of outline numbering with word for mac 2016 is super. Interestingly, have done all that’s listed. However, need to go back now and look again to see if have restart numbering set for each at the level above the level we’re defining as your screenshots show. My numbering somehow got messed up and can’t get back. Level 3 for heading 3 is continuing numbering from previous level 3 instead of indenting and numbering based on the level 2 above it. 1.2.1 also, some places it works such that after level 2, we hit enter and the next line/paragraph is heading 3 but other places it keeps making it level 2 also. Then when we switch it to heading 3, it does not keep the correct numbering. Have also been playing with the modify styles as you described. CHECK PRINTING TEMPLATES CHECK PRINTING TEMPLATES CHECK PRINTING TEMPLATES by Jim Kaness Printing (filling in the blank spaces on) individual personal (2 3/4' by 6') bank-checks with a personal computer and printer is quite possible, but not common. Fortunately, to facilitate machine reading of the checks, the blank spaces for filling in the recipient and the amounts are all standardized in the United States for checks on any bank. I cannot speak for other countries. If your handwriting is as bad as mine, or if you want to prepare a check that is difficult to alter, this can be quite useful. Please note that creating and printing a complete check on blank paper is not possible without special magnetic ink and its font for the bottom line containing the bank routing and account numbers. Open the file and edit each of the five data entry boxes to say what you want it to say. Remove a blank check form from your checkbook. Attach the blank check form in the exact upper left corner of an 8 1/2' by 11' printer paper using about 3/4-inch of double sided tape (or about 2-inches of single sided tape folded over on itself sticky side out) between the center of the check form and the printer paper. Insert that paper into the printer as you would any other page to print on. Print the check as with any other page. TIP- You might want to print on a blank sheet of paper first to get the hang of this. NOTE 1: My HP Officejet 1350 and HP Officejet 4500 printers will accept a personal check blank and print it. My new HP Envy 4500 will not. The solution, which will work for nearly any printer, is to attach the blank check form in the exact upper left corner of an 8 1/2' by 11' printer paper using about 3/4-inch of double sided tape (or about 2-inches of single sided tape folded over on itself sticky side out) between the center of the check form and the printer paper. Insert that paper into the printer as you would any other page to print on. It works for me. NOTE 2: This same approach could be used to fill in the blanks on business checks or any other pre-printed form by sizing the rows and colums of the spreadsheet to fit your form. The business checks available to me have all been so radically different in overall size and in the location of the data that I am unable to offer a single template for them. NOTE 3: The Page Preview Section is the only part of the file that is printed on your check form. You can change the font to anything you like by separately highlighting each entry and selecting the font, color and style of your choice. But, I suggest you use an easily readable font! ![]() NOTE 4: These templates do not provide for printing your signature on your check form. If you wish, you can write your signature on a blank piece of paper, scan that paper, and crop the scan so you have a small photo of your signature. This photo of your signature can then be inserted (and sized) in the appropriate location in the Preview Section. It works for me. DOWNLOADS (Free of Charge. For use by Anyone.) Business Cover Pages In the corporate world, the cover page design is largely dependent on the nature of the organization and the type of document you are producing. Certain cover pages should be formal and professional, while others may call for more creativity and flare. For example, technical reports that mostly show facts and figures typically have more conservative covers, while business and marketing plans might be more colorful and use attractive imagery that makes the reader feel good about the company. Your title page should identify with the brand, be consistent with the organization’s mission, and follow all pre-set guidelines. Above all, be sure to create a design that will be pleasing to your target audience. Book Cover Designs Whether you are creating a magazine, ebook or paperback book cover, a compelling design is essential for the success of the project. The cover is what sells the book, and if it doesn’t immediately grab the attention of potential readers, many will not take the time to read the description and learn what the book is about. Keep in mind that many consumers today shop for books and magazines using electronic formats such as tablets and smartphones, rather than on bookshelves. For this reason, the title should be large and easy to read and the graphics should be professionally designed in a way that allows the reader to connect emotionally with the subject matter. Also make sure any graphic images are easily viewable in thumbnail size, so they can be seen by readers on all devices.
